Hire Space Case Study: Tourism Australia’s Multi-Day Exhibition

The client

Our client was Tourism Australia, an organisation that's part of the Australian Government. Tourism Australia is responsible for attracting international visitors to Australia, both for leisure and business events.

The objective

The client wanted to hold a multi-day event in London, with the aim of connecting Australian sellers with UK buyers, to build valuable relationships and ultimately generate leads. The client also required a networking evening on the first night to further build relationships with their attendees.

What we did

Full event management

The event welcomed 250 attendees for two days of meetings in a speed dating-style format. There was a company address at the beginning of day 1, closing speeches on day 2, as well as a networking evening on day 1 at a separate venue.

We provided full event management, including venue sourcing, all supplier liaising and budget management, as well on-site delivery. We'd worked on this event previously, sourcing a fantastic venue and accommodation for the client, which they were keen to get our input on again. This time, however, the client wanted to make use of our full event management service to save them time, money, and hassle!

Speed dating-style set up connecting UK buyers and Australian suppliers

Venue sourcing

The main event was held at Convene at 22 Bishopsgate, utilising the whole third floor. There were multiple spaces in which the meetings could take place, broken down by each Australian territory, along with catering space and other meeting rooms used for keynotes, speeches, and press meetings.

The client loved this venue because it was contemporary, eye-catching, and works perfectly with their brand’s focus on out-of-the-ordinary experiences. There was ample space, which was needed for an event like this, and the AV package was mostly built-in, providing a big cost saving. The venue boasts a great central location and was close to their hotel and evening venue.

The venue used for the drinks reception on night 1 was nearby restaurant 14 Hills. The team at Tourism Australia love venues full of greenery and foliage, and 14 Hills has this in abundance. For the accommodation, we used the Canopy by Hilton, part of their new boutique lifestyle collection. This is a brand new, modern property that was just a short walk away and in keeping with the feel of all the vibrant venues we brought on board.

The networking reception at 14 Hills

The challenges

There were some very minor AV issues, which were resolved very quickly by maintaining constant communication with the venue and AV teams. There was also a need for our team to improve the circulation of food served during the networking event, due to food not reaching guests who were not situated near the kitchen. To help resolve this, our team was stationed in the kitchen and dotted around the venue, helping servers get through and ensuring the food was circulated as evenly as possible around to the guests.

The result

The event was a big success. We received lots of great feedback from the client on our venue choices and the overall organisation of the event. They also commented really positively on our ability to handle all the individual supplier contracts and payments for them as, being a government body, this is generally tricky for them.
